MAJOR DUTIES: Administrative Support: Prepares a wide variety of recurring and nonrecurring correspondence, reports, and other documents and reviews. Composes correspondence and other materials of a non-technical nature. Reviews and finalizes outgoing correspondence prepared by others for procedural and grammatical accuracy, and conformance with general policy. Reviews and processes incoming and outgoing correspondence, materials, publications, regulations, and directives. Screens incoming mail. Provides logistical support to staff regarding workshops, conferences and briefings; i.e. arranges for the location, equipment and setup. Maintains listings and rosters of classes, workshops and services offered by the site. Schedules appointments and meetings. In addition to logistical support, contacts participants and ensures all required materials and services are provided. Informs supervisor of conflicts, reschedules appointments and contacts other people to attend meetings in lieu of supervisor when necessary, and makes calendar available to supervisor and others to minimize conflicts in scheduling. Independently notes and follows up on commitments made at meetings and conferences by staff members. Develops, establishes, updates, and maintains office administrative procedures and records of various types to ensure an efficient and effective operation of the site. Provides advice and guidance to FFSC staff and other clerical personnel on administrative, clerical, and procedural requirements and instructions, and assists in solving problems to which existing guidelines can be applied. Develops and maintains trackers or suspense files for unclassified document control as required. Establishes, maintains, purges, and disposes of files and records in accordance with established regulations and procedures. Makes travel arrangements. Prepares, consolidates, submits, and maintains time and attendance records in accordance with established procedures. Seeks out and maintains an updated and detailed information database of programs, services and activities available on the installation and in the local community (including both State and federal) that support and enrich the quality of life for individuals and families. Based on knowledge of substantive programs of the organization, gathers and summarizes information from files and documents for supervisor’s and staff use in responding to inquiries, recognizing which information is or is not relevant to issue at hand. Uses multiple computer software and web-based programs with varied functions to produce a wide range of documents and reports that often require complex formats, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets. Maintains database with walk-in and call-in customer statistics and provides data for monthly, quarterly, etc., reports. Maintains and inputs a statistical record of contacts into FFSC databases in a timely manner. Consolidates and finalizes information for various reports in accordance with established procedures. Responsible for APF and NAF property inventory and supplies.
QUALIFICATIONS REQUIRED: Knowledge of the mission, functions, policies, regulations, procedures, and reporting requirements governing the programs of the FFSC. Knowledge of the duties, priorities, commitments, policies, and program goals of the organization sufficient to perform non-routine assignments. Knowledge of fact-finding techniques and ability to gather and assemble a variety of data for reports. Ability to communicate orally and in writing in order to establish and maintain effective relationships with all levels of management, staff and customers. Knowledge of the military lifestyle, the unique challenges faced by service members/families and the array of services available to address these issues. Knowledge of federal, state and community social service agencies or organizations and their human service programs, services, policies, practices and interrelationships with the military, as applicable. Proficiency in grammar, spelling, punctuation, capitalization, and format to prepare and edit written correspondence and reports. Knowledge of extensive rules, procedures, operations, functions, and commitments applied to administrative assignments to screen calls and visitors; maintain multiple calendars; prepare, review and edit documents; locate and assemble information for various reports; maintain files/records, and to plan and prepare travel arrangements. Knowledge of and the ability to utilize various software programs (word processing, spreadsheet, data base, presentation software, etc.) to produce a wide range of documents that often require complex formats, such as graphics or tables within text, to edit and reformat electronic drafts, and to update and revise existing databases or spreadsheets. Knowledge of the nature and capability of different software packages and the integration compatibilities among different software types. Knowledge of common business practices with respect to sales, prices, discounts, deliveries and shipment methods.
